Working with Asset Condition Assessment Observations

An inspector can record his observations about the condition of an assessment, and update his observations later if needed.

Creating an Asset Condition Assessment Observation

Most agencies pre-define assessment observation formats to accommodate specific assessment types and specific attributes. The inspector can then use these formats as a guideline when performing an assessment. For example, when an inspector assesses a vehicle, he inspects everything with great detail. Do the headlights and taillights function properly? Are seat belt latches in good condition? Are the windshields free of cracks and chips? Are the rear view mirrors intact? A pre-defined observation format serves as a checklist for the inspector, and his observation results help determine what needs repair. Civic Platform can then generate work orders for needed repairs.

To support the assessment process, inspectors can use the Observation Documents tab to upload supporting documents and files such as diagrams, drawings, or photos. If you agency associates assessment observations with weighting factors, Civic Platform updates the assessment condition rating. The condition rating determines the value of the asset attribute as observed during the assessment. For more information about the formula used to determine these values, contact your agency administrator.

To create an asset condition assessment observation

  1. Navigate to the Asset Condition Assessment portlet and use search to locate the assessment record you want to work with. See Using the Search Features for information about using Search.

    Civic Platform displays the Asset Condition Assessment list portlet.

  2. Click the Condition Assessment ID link for the assessment you want to report on.

    The Asset Condition Assessment ID detail portlet displays.

  3. Click the Observation tab.

    The Asset Condition Assessment Observation list portlet displays.



  4. Click Add.

    Civic Platform adds a new observation row to the detail portlet.



  5. Complete the fields in the row with available data.

  6. Click Save.

    Civic Platform saves the new observation record.

Viewing and Editing an Asset Condition Assessment Observation

You view and modify observation data as needed.

To edit an asset condition assessment observation

  1. Navigate to the Asset Condition Assessment portlet and use search to locate the assessment record you want to work with. See Using the Search Features for information about using Search.

    Civic Platform displays the Asset Condition Assessment list portlet.

  2. Click the Condition Assessment ID link for the assessment you want to report on.

    The Asset Condition Assessment detail portlet displays.

  3. Click the Observation tab.

    The Asset Condition Assessment Observation list portlet displays.

  4. Modify the observation fields as needed.

  5. Click Save.

    Civic Platform saves your observation data.
