Work Order Cost Distribution Overview

Work Order Cost Distribution enables you to distribute the costs of a work order to its associated assets and track how much cost is spent on the assets. Work order costs can include the materials, equipment, and labor required to maintain an asset.

If a work order has only one associated asset, then the cost distribution process is basic, and the selected costs are associated to the asset record. For example, you have a work order for a hydrant flush. Because only one hydrant is associated to the work order, all the work order costs related to the hydrant flush are associated with the hydrant asset.

If a work order has multiple assets, you have many distribution options.

  • Asset Count: If each associated asset on a work order is of the same asset type, then you can use Asset Count to distribute the costs. This method (Costs/Number of assets) is the simplest distribution method, and can be used with all asset types and classes. For example, you have a work order to stripe multiple street segments. You can use Asset Count to distribute the work order costs evenly to each street segment.

  • Asset Size: When you distribute costs by Asset Size, (Sum of the costs/Weighted size of each asset selected), you give each asset a proportional share of the costs. For example, you have a work order to repair the connection point of two sewer lines, one smaller and one larger. You can use Asset Size to account for the size difference in each sewer line when you distribute work order costs.

  • Asset Type: If the associated assets on a work order are of varying types, you can distribute costs by Asset Type. This allows you to break out costs based on the type of asset rather than the quantity or size.

  • Manual Allocation: You may have the option to manually define the amount to be allocated to each associated asset on a work order.

You can view distributed cost data on the Summary and Distribution History tabs on a Work Order record, or on the Work Order or Asset Detail tabs of an Asset record. The Distribution History tab provides the option of rolling back distributed costs.
