Managing Asset Usage

The usage of a specific asset can be tracked within Civic Platform. For example, a fleet vehicle is used on a regular basis to perform maintenance on the cities water lines. The vehicle hours and mileage should be tracked to identify the use of the vehicle. Each usage reading that is entered will be collected and generate a history of how and when the asset was used.

The asset usage reading history can be viewed and managed from the asset usage reading list. The history of the usage will help identify if and when new assets may be needed based on over usage. It will also help identify when maintenance of the asset will need to be performed. In addition, the difference between the current usage reading and the previous reading is available on the asset usage reading list. You will be able to easily view and identify how much an asset was used since the last reading. The usage also affects the asset depreciation value and will be updated as appropriate.

Adding an Asset Usage Reading

Adding usage readings on asset such as fleet vehicles assists in identifying when preventative maintenance tasks need to be performed on the vehicle as well as if additional assets need to be acquired. When an asset usage reading is added it is logged and the vehicle usage counts are updated. The usage also affects the asset depreciation value and will be updated as appropriate.

To add an asset usage reading

  1. Navigate to the Assets portlet and use Search to locate the asset record you want to update. Click the asset ID link in the Asset ID column.

    Civic Platform displays the asset details.

  2. Click the Usage tab.

    Civic Platform displays the Asset Usage tab.

  3. Click New.

    Civic Platform displays the fields that apply to the asset usage reading.

  4. Enter the current Reading first, then select the Unit Type from the drop-down list, and then specify the Reading Date.

  5. Click Save.

    Civic Platform updates the asset usage history list.

Editing Asset Usage Reading

There may be need to edit an asset usage reading if there was mistake when it was originally created. Each time a reading is updated the usage is re-calculated to display the current usage counts on the asset. The usage also affects the asset depreciation value and will be updated as appropriate.

To edit an asset usage reading

  1. Navigate to the Assets portlet and use Search to locate the asset record you want to update. Click the asset ID link in the Asset ID column.

    Civic Platform displays the asset details.

  2. Click the Usage tab.

    Civic Platform displays the usage history for the asset.

  3. Enter the Reading details for the usage reading you want to modify.

    Civic Platform displays the Asset Usage reading details.

  4. Review, update, or print the details as necessary. If you modify the information in any of the fields, click Submit.

Deleting an Asset Usage Reading

There may be reason to remove an asset usage reading because of duplicate readings, a reading may have been made by mistake or on the wrong vehicle. When a reading it deleted, assets are not removed, only the usage history record of the asset is removed.

To delete an asset usage reading

  1. Navigate to the Assets portlet and use Search to locate the asset record you want to update. Click the asset ID link in the Asset ID column.

    Civic Platform displays the asset details.

  2. Click the Usage tab.

    Civic Platform displays the Asset Usage tab.

  3. Select the asset usage readings that you want to dissociate.

  4. Click Delete.
