Managing Asset Contacts

You can manage contacts associated with an asset using the Contact tab. This allows you to easily track the individuals related to specific assets.

Contacts can be associated with one or multiple assets. Similarly, an asset can be associated with one or multiple contacts.

In order to use this feature, your agency administrator must complete the necessary configuration.

Creating an Asset Contact

You can create a contact and associate it with an asset.

To create an asset contact

  1. Navigate to the Assets portlet and use Search to locate the asset record you want to update. Click the asset ID link in the Asset ID column.

    Civic Platform displays the asset details.

  2. Click the Contact tab.

    Civic Platform displays a list of contacts associated with the asset.

  3. Click New.

    Civic Platform displays the Add Contact form.

  4. Complete any fields that display.

  5. Click Submit.

    Civic Platform creates the contact and associates it with the selected asset and displays the contact in the Contact list portlet.

Associating a Contact with an Asset

You can look up a contact in the Civic Platform reference database and create an association between a contact and an asset.

To associate a contact with an asset

  1. Navigate to the Assets portlet and use Search to locate the asset record you want to update. Click the asset ID link in the Asset ID column.

    Civic Platform displays the asset details.

  2. Click the Contact tab.

    Civic Platform displays a list of contacts associated with the asset.

  3. Click Look Up.

    Civic Platform displays the Contact search page.

  4. Complete any fields that display.

  5. Select the contact you want to associate with the asset.

  6. Click Select.

    Civic Platform associates the contact with the selected asset and displays a confirmation message.

Removing the Association between a Contact and an Asset

You can remove the association between a contact and an asset.

To remove the association between a contact and an asset

  1. Navigate to the Assets portlet and use Search to locate the asset record you want to update. Click the asset ID link in the Asset ID column.

    Civic Platform displays the asset details.

  2. Click the Contact tab.

    Civic Platform displays a list of contacts associated with the asset.

  3. Select the contact you want to remove from the asset.

  4. Click Delete.

    Civic Platform removes the association between the contact and the asset and displays a deletion confirmation message.
