Managing Part Contacts

Part contacts are approved vendors and approved manufacturers that supply the agency with specific parts. You can link one or more contacts to a part and then use this information to interact with vendors and manufacturers for pricing, re-orders, and questions about the parts they supply. For information on how to set up a new part contact, please contact your system administrator.

Linking a Part Contact to a Part

  1. Navigate to the Part Inventory portlet and use Search to find the part that you want to work with. See Using the Search Features for information about performing a search in Civic Platform.

    Civic Platform returns a list of all parts that match your search parameters.

  2. Click the Part Number link for the part that you want to work with.

    Civic Platform displays the part details.

  3. Click the Part Contact tab.

    Civic Platform displays the part contact list of contacts associated with part.

  4. Click Look Up to display a list of search criteria you can use.

  5. Enter search criteria as needed to locate the contacts that you want to link. For a description of the fields, see Part Contact Fields.

  6. Click Submit.

    Civic Platform displays the search results.

  7. Select the contacts that you want to link to the selected part.

  8. Click Submit.

    Civic Platform associates the selected contacts with the part and displays the associated part contact list.

Viewing Part Contact Details

It may be necessary to speak with the vendor or manufacturer about a re-order. You can easily view the contact’s name and phone number from the part contact list portlet. For information about updating the details of a part contact, see your system administrator.

To view the details of a part contact

  1. Navigate to the Part Inventory portlet and use Search to find the part that you want to work with. See Using the Search Features for information about performing a search in Civic Platform.

    Civic Platform returns a list of all parts that match your search parameters.

  2. Click the Part Number link for the part that you want to work with.

    Civic Platform displays the part inventory details.

  3. Click the Part Contact tab.

    Civic Platform displays the part contact list of contacts associated with the part.

  4. Open the part contact that you want to view.

    Civic Platform displays the part contact details.

Deleting a Part Contact

When you delete a part contact as described in this section, you are not actually deleting the contact record. You are deleting the association between the part and contact. For information about deleting contact records from the master list, see your system administrator.

To delete a reference to a part contact

  1. Navigate to the Part Inventory portlet and use Search to find the part that you want to remove. See Using the Search Features for information about performing a search in Civic Platform.

    Civic Platform returns a list of all parts that match your search parameters.

  2. Click the Part Number link for the part that you want to work with.

    Civic Platform displays the part inventory details.

  3. Click the Part Contact tab.

    Civic Platform displays the part contact list of contacts associated with the part.

  4. Select the part contacts that you want to dissociate.

  5. Click Delete.

    Civic Platform displays a message indicating that the part(s) deleted successfully.
