Asset Condition Assessment Detail Fields

The following table lists and defines fields that may be available as you work with Asset Condition Assessments.

Read-only fields for reviewing only:
Asset Group The asset group. For example: Water or Street. An Asset Group is an agency-defined collection of objects the agency owns or maintains.
Asset ID The numbering sequence used to identify the asset. An Asset ID is the unique identification for an asset.
Asset Type The type of asset. For example: Hydrant or Manhole. An Asset Type is an agency-defined classification of similar objects that share the same standard asset attributes. Multiple asset types can share the same Class Type.
Class Type The class type. A class type is how Civic Platform groups objects that an agency owns or maintains. Asset class types provide the ability to assign or group multiple asset types together.
Condition Assessment The type of condition assessment.
Activated fields available for editing:
Comments General comments.
Department The department responsible for the assessment. The selection may change the names listed in the Inspector drop‑down menu.
Inspection Date

Inspection Time

The inspection start (from) and end (to) dates from the calendar icon. The time of the inspection.
Inspector The name of the inspector responsible for the assessment.
Schedule Date

Schedule Time

The start (from) and end (to) dates from the calendar icon:The Schedule Time from the drop-down list.
Status The status of the condition assessment: Completed or Scheduled.
Time Spent (Hours) The amount of time spent on the assessment. If enabled, you may enter a range when searching where the desired amount of time spent is between the upper (From) and lower (To) values.

Asset Condition Assessment Document Attachment Fields

The following table lists and defines fields that may be available as you work with attachments to asset condition assessment records.

Document Group/Category A document group that relates to the asset condition assessment ID. The selection that you make affects the options in the adjacent category drop-down menu. For example, the types of document categories might be Photos or Engineering drawings.
Document Name A name for the document attachment. For example, Image of 1 of 3 Pavement Section.
Description A description about the attachment. For example, This is the inside circle of the circular pavement. Depending on the option selected, either Description or Document Description field displays.
Source (or EDMS Name) The name of the electronic document management system (EDMS) where you want to store the attachment. Consult your agency administrator if you need assistance with this field.
File Name [Browse] The file name of an attached document. Use the Browse link to locate the file.

Asset Condition Assessment Costing Fields

The table below lists and defines the fields that may be available when costing a condition assessment.

Cost Account The cost account where the units should be added or subtracted from when associating with a condition assessment.
Cost ID The identification number populates automatically when you click Submit.
Cost Item The name for the cost item.
Cost Type This is the type of cost. For example, contract, employee, materials.
Current Asset Usage The current usage of the asset. This field displays only when you are assigning an asset as a cost to the condition assessment, and the asset type is associated with usage types in the administrator portlet.
Date The date when the costing is done.
Description The description for the cost item.
End Time The end time of the assignment or cost item usage. Mark “All Day Event” if applicable.
Fixed Rate The fixed cost rate to be used for the cost item.
Quantity The quantity of items included in this type. If your agency administrator did not configure the Standard Choice COST_FACTOR, when you add a new cost item to a condition assessment, you can specify only one quantity for the cost item.

If your agency administrator configured the Standard Choice COST_FACTOR, when you add a new cost item to a condition assessment, the Quantity section of the Cost Item New form provides several cost factors, for example, Regular, Overtime, and Holiday. You can enter quantities by cost factors.

Record Status Read-only field. It indicates whether the cost item record is active or inactive in the administrator portlet.
Start Time The start time of the assignment or cost item usage. Mark “All Day Event” if applicable.
Time Accounting Group The Time Accounting group. This field displays only when you are assigning human resources as a cost to the condition assessment, and the selected user profile is associated with a Time Accounting group.
Time Accounting Type The Time Accounting type. This field displays only when you are assigning human resources as a cost to the condition assessment, and the selected user profile is associated with a Time Accounting type.
Time Elapsed The actual work time of the cost item (human resource). This field displays only when you are assigning human resources as a cost to the condition assessment, and the selected user profile is associated with a Time Accounting type.
Total Cost Automatically calculated according to the formula below. If there are no cost factors for the cost items:
Total Cost = Fixed Rate + Quantity * Unit Rate * Default Cost Factor
If there are multiple cost factors for the cost items: Total Cost = Fixed Rate + Unit Rate * (Cost Factor #1 * Quantity #1 + Cost Factor #2 * Quantity #2 +...+ Cost Factor #n * Quantity #n)
Type Select the type from assignment or cost.
Unit Rate Enter the unit cost rate to be used for the cost item.
Unit of Measure Use the drop-down list to select the unit of measure for the cost item.
Updated Date Read-only field. It indicates when the cost item is last updated in the administrator portlet.
Updated By Read-only field. It indicates the user account that last updated the cost item in the administrator portlet.
Usage/Time Tracking This field contains three parts: Time Accounting Group, Time Accounting Type, and Time Elapsed.
